How the customer uses the solution:
MediaHaven is used as a central repository where they can preserve, manage and distribute all their collection and non-collection based digital content.
They have multiple different user profiles that will be working with different types of content.
Short intro on the customer:
The Arcadia University is a private University from Philadelphia and was one of the first US based organizations to sign on for the MediaHaven platform. Arcadia received high marks in the U.S. News & World report's 2015 edition of best colleges and for the fifth consecutive year they ranked first in the U.S. in Study Abroad.
Arcadia needed a central platform to manage and distribute their digital media assets. Over 3TB of content was stored on a shared drive and they have 25 employees who need to be able to access the content on a regular basis. Moreover they also have several external partners who need partial access as well.
MediaHaven is used as a central repository where internal and external users can easily search and retrieve content. The fine-grained permission structure allows Arcadia to protect the integrity of their content at all times. Our migration specialists assisted Arcadia in getting both their assets and the existing metadata onto the platform.

City of Kortrijk
The city of Kortrijk is a medium sized Belgian city. The city's government currently has over 1000 employees scattered across 35 departments and they are closely collaborating with a dozen of external partner organizations.
The city has a lot of digital documents:
- About one million pictures (increasing each year)
- Several thousands of documents e.g. brochures or pdf files
- Thousands video and audio fragments
- 60.000 scanned newspapers
- 400.000 in memoriam cards
Most of the departments used to work in silo, they had their own workflows and storage locations. Cross-departmental reuse of content was low and as there were no systematical storage solutions in place a lot of files got lost. The city of Kortrijk was looking for a solution to promote internal collaboration and boosts reuse of content. For the heritage department it was important to preserve their digital collection for the long run and also to able to share collections with the public.
With MediaHaven we offer the city of Kortrijk one central platform to safely store and manage all their digital content. The platform currently holds over one million files and employees can add and browse through content using an internal website. Our solution also has a public website which allows the city of Kortrijk to share a large part of their content with the general public.
Internal collaboration has increased strongly and the reuse of existing material has doubled, resulting in huge time gains. Since the launch of the public website over x people have visited the website and browsed their collection. The city of Kortrijk now has a saf e tool to store all kinds of media files and since our platform is highly scalable, they are ready for the future!
VIAA & MediaHaven is a perfect match
VIAA uses MediaHaven as a deep archive media asset management platform. The VIAA reference case provides a good demonstration on some of the core functionalities of MediaHaven.
VIAA was founded in 2012 by the Flemish government. The Flemish Institute for Archiving or VIAA digitizes stores and provides access to audiovisual material, photos, documents, etc. They collaborate with partners from the cultural, heritage and media sector.
An organization such as VIAA interacts with a large number of content providers that deliver content. Each of them requiring access to the platform and the ability to set the security and visibility levels on the content and users. Furthermore the VIAA archive consists of a tape library (IBM TS3500, several thousand LTO-6 tapes), a GPFS disk storage (50 TB) and Castor object store (300 TB). Each of those are replicated on two different sites to provide high redundancy and recovery options.
Finally as the volume of content keeps on growing, scalability is an extremely important requirement.
MediaHaven has been setup like a SAAS environment letting VIAA use all the capabilities of a multi-tenant platform. MediaHaven allows VIAA to easily manage the content of all different content providers and provide optimized workflows for individual tenants.
VIAA can maintain its own customers. They have all the tools available to deliver MediaHaven to their customers while maintaining a good overview of the project. Because MediaHaven is scalable it will grow together with the needs of VIAA. MediaHaven uses a very flexible metadata model which can be completely configured by the customer.
Kazerne Dossin uses MediaHaven
Kazerne Dossin had data scattered across 8 different databases. Using MediaHaven they joined all the databases together and where able to link all related files to specific people.
Kazerne Dossin is a Memorial, Museum and Documentation Centre on the Holocaust and Human Rights. It was established in 2012 and focuses on the Belgian aspect of the Holocaust. During the first year over 100.000 people visited the museum. Meanwhile Kazerne Dossin has become one of the leading memorial sites for the holocaust in Europe and most recently they received a special commendation at the European museum of the year awards 2014.
The huge amount of data they had was scattered across 8 different databases. Kazerne Dossin needed a solution to share their collection with visitors in a clear way while supporting this complex data structure for internal researchers.
Kazerne Dossin opted for a structure where they linked all related data to specific people. MediaHaven allows the creation of sets. Every set is a dossier about one deported person, containing all related files. By applying this structure they can now share their vast collection in a clear way with visitors. Also internal researchers can access all data at one place as MediaHaven joined all the databases together in one platform.
No more searching through different databases. MediaHaven supports a streamlined workflow allowing internal researchers to access this complex data through one central platform. Also visitor engagement has gone up tremendously as they can now share their collection in an easy and instructive way.
Westtoer uses MediaHaven as their backbone
Westtoer uses the MediaHaven cloud solution as a central repository that supports their media delivery workflows.
Westtoer is an autonomous organization responsible for promoting tourism in the West Flanders region.
Before using MediaHaven, Westtoer already had a Media Asset Management platform in place. A smooth migration of the existing media content and the accompanying metadata was critical. Also within their day-to-day operations Westtoer uses multiple third party applications, it was essential that the new solution could be integrated within the existing architecture.
Our metadata specialist team, assisted Westtoer with the migration of their existing content and metadata. We configured a metadata translation in order to convert the data from their existing solution towards MediaHaven through the use of XML files.
A proficient integration with third party applications allows Westtoer to use their content in multiple ways. For instance the rest-api has been used to integrate with mobile applications. And the drupal plugin allows the web developers of Westtoer to use media content within their websites. Finally Westtoer uses the MediaHaven web interface to share content with both internal and external users.
Westtoer now has one central repository that allows the communication department to search content and directly imbed content in websites and third party applications. Further they can easily share files with both internal and external users. Since MediaHaven has been installed collaboration has increased and the reuse of content has doubled, resulting in major time gains.

MediaHaven offers a lot of possibilities by default and is highly adaptable.
As a service provider with more than 130 separate archives, the multi tenant aspect in particular is a key feature for us.
